1. Who we are (Data Controller)

PoliTOcean is a student team of the Politecnico di Torino. For the data collected through this website, the contact point is:

2. What data we collect

We only collect the personal data you choose to provide through our contact form. We do not use analytics, advertising or profiling cookies, and we do not track your browsing behaviour.

Through the contact form we collect:

• Your name and surname
• Your email address
• Whether you contact us as a company / public entity / institution
• The content of the message you send us

3. Why we use it and on what legal basis

We process the data you submit through the contact form solely to read and respond to your request. The legal basis is your consent (Art. 6(1)(a) GDPR), which you give by ticking the consent box before sending the form, and our legitimate interest in answering enquiries addressed to us (Art. 6(1)(f) GDPR).

Providing the data is optional, but it is necessary in order for us to reply to you.

4. Who processes the data (third parties)

To deliver the messages submitted through the contact form, we use Web3Forms, a form-handling service that acts as a data processor on our behalf. Web3Forms does not store form submissions: it processes the data and forwards it to us by email. Its servers are located in the United States, so submitting the form involves a transfer of data outside the European Economic Area, for which the appropriate safeguards under Chapter V GDPR apply. Web3Forms may keep technical server logs containing personal data, which it deletes periodically (approximately every two months).

Once forwarded, your message is received in our email inbox, which is hosted by Google (Gmail). Google therefore acts as the provider of our email service. We do not sell or share your personal data for marketing purposes.

5. Cookies

This website does not use profiling or third-party tracking cookies. It does not install Google Analytics or any advertising pixels. Only technical resources strictly necessary to display the site are used, for which no consent banner is required under the ePrivacy Directive and Italian Garante guidelines.

6. How long we keep your data

Web3Forms does not retain your submission; it only keeps temporary technical logs that are deleted periodically (approximately every two months).

The message itself reaches our email inbox, where we keep it only for as long as necessary to handle your request and any follow-up, and in any case no longer than is reasonably required for that purpose. You may ask us to delete your message at any time (see Section 7).

7. Your rights

Under Articles 15–22 GDPR you have the right to access your data, to ask for its rectification or erasure, to restrict or object to its processing, and to data portability. Where processing is based on consent, you may withdraw your consent at any time without affecting the lawfulness of processing carried out before the withdrawal.

To exercise these rights, contact us at politocean@gmail.com. You also have the right to lodge a complaint with the Italian Data Protection Authority (Garante per la protezione dei dati personali, www.garanteprivacy.it).

8. Changes to this policy

We may update this Privacy Policy to reflect changes in our practices or for legal reasons. The current version is always the one published on this page, with its last-updated date.
